Job Title: Executive/ Senior Executive – CEPT Archives

Academic Qualification:

  • Bachelor’s / Master’s degree in any field preferable in business management.
  • Diploma in office Administration is preferred.
  • Minimum 3 years of experience is required in related field

Expertise Required:  

  • Working in collaboration with all team members / team work
  • Professional proficiency, excellent and articulate command over spoken and written English.
  • Proficiency in Gujarati and Hindi language.
  • Thorough knowledge of Microsoft Office with a high level of Microsoft Excel skills.
  • Basic knowledge of working in collaboration over G-Suite.

Roles and Responsibilities:

  • Overseeing digital and physical preservation, record management and other archival procedures.
  • Handling the front desk, receiving, and directing visitors at the Archives.
  • Answering incoming calls, taking messages, and conveying it to the intended recipient.
  • Filtering and allocating email enquiries when required.
  • Ordering and managing office supplies and stationery.
  • Maintaining bookkeeping records such as invoicing, monitoring accounts, filing bills post approval from the head.
  • Maintaining general office files including vendor profiles, log sheets.
  • Coordinating and following up with other departments at the University.
  • Coordinating with all the support staff for day-to-day maintenance activities at the Archives.
  • Overseeing the maintenance of the office facilities and the premise.
  • Following up with various departments at the University and other service providers for multiple tasks at regular intervals.
  • Assisting with organization of events and staging of visits at the Archives.
  • Providing administrative assistance in team projects and other duties as and when required.
  • Ensuring confidentiality and integrity while handling sensitive and confidential information.
